How to Apply
1. COMPLETE THE APPLICATION
All exhibitors are required to complete the online application form. Returning exhibitors will receive an email with the application link and a unique booking code. New exhibitors can access and complete the application form via the link on the FarmFest official website. Once complete you will receive an acknowledgement email that your application has been submitted. Note: for any requests to your site or site changes please provide detailed information in the comments section of the application for the team to review.
2. APPLICATION REVIEW & APPROVAL
Your Application will be reviewed by the Event Organisers. Should your application be successful, you will receive an approval email with your approved site number. To accept this site you will be required to sign the event contract and agree to the terms and conditions within 5 business days. Failure to return the signed contract within this time frame will result in the site becoming available to other exhibitors.
3. SITE ALLOCATION
Returning Exhibitors have first option on their previous year’s site and/or site change requests where possible. Following this, new applicant sites will be allocated based on availability and suitability. Exhibitors with site change requests that are unable to be facilitated may receive an email from our team with alternative options, please note that while we endeavour to accommodate such requests it is not guaranteed they will be facilitated given the scale of the event.

Accommodation
Accommodation in Toowoomba can be heavily booked around Elders FarmFest, so it is recommended you book well in advance. Toowoomba visitor center 1800 331 155.
BUMP-In and Bump Out
FarmFest bump-in will commence Monday, 25 May to Monday, 1 June 2026. Time to be confirmed.
FarmFest bump-out will commence Friday, 5 June to Tuesday 9 June, 2026. Time to be confirmed.
Headquaters opening hours are to be confirmed.
Demonstration Registration Form
There are official demonstration areas for drones, motorbikes, 4WD, heavy machinery and livestock. All demonstrations must work to safety regulations. Demonstrations will also be added into the Official Demonstration Program that will be available on the FarmFest Website and FarmFest App.
LIFTING SERVICE INFORMATION
For setting up and dismantling purposes before and after the event, a limited, complimentary lifting service is offered to Exhibitors. Crane, forklift, telehandler and tractor service with operators will be available for unloading and loading plant, vehicles, and equipment but strictly no assembly. If a lifting service is required outside the Organiser’s nominated times, it will be at the Exhibitor’s expense. Bookings can only be made on site in person at FarmFest Headquarters at our Field Services counter during the lifting service hours. Availability is on a first-come, first-served basis.

EXHIBITOR FAQ’S
Can I bring my e-bike or e-scooter to FarmFest?
No, you cannot bring these items to the event.
Can I bring my dog to the event?
With the exception of guide dogs for the vision impaired, registered service dogs for medical or disability requirements. other than those exceptions, no dogs are permitted on-site.
